Job Description:

Our client, a multi-service law firm in the Greater Philadelphia area, is seeking an Administrative Assistant to add to their team. Responsibilities include performing a variety of administrative duties to assist the Managing Partners and Executive Director. In addition to, maintaining positive contact with clients, attorneys and staff.Duties include, but not limited to: Screen telephone calls and record messages. Review, process, save and disseminate incoming mail. Draft, type, format, proofread and edit correspondence and legal documents.Photocopy, scan, file, fax, and mail documents.New client intake in accordance with department requirements.Backup intake coordinator (for Marketing Director)Open, update and maintain client matters and documents in electronic case management and document management software per firm policies and procedures. Run conflict checks in case management software per firm policies and procedures. Create, organize, and maintain Corporate Minute Books and paper client files when requested.Fax file various corporate documents with the PA Corporation Bureau.Maintain calendars with detail and accuracy, including scheduling client appointments, deadlines, and reminders per firm policies and procedures. Prepare check requests for attorney reimbursements and client costs. Track and save attorney Visa transaction receipts. Handle meeting and travel arrangements.Handle annual registrations and dues.Handle CLE submission to the state. Maintain an attorney password and access information for various legal websites.Communicate with clients to provide assistance with non-legal inquiries. Review final bills and send to clients. Review files to be closed.Provide backup support to other attorneys and assistants as needed.Provide reception back up coverage as needed. Other secretarial duties as needed. Qualifications: At least 2-3 years of experience in an administrative support role. Highly organized and detail-oriented with the ability to prioritize numerous tasks and complete them under time constraints.Ability to proofread typed material for contextual, grammatical, typographical or spelling errors.Interpersonal skills necessary in order to communicate in person, by e-mail and telephone to provide information with ordinary courtesy and tact.Ability to operate standard office equipment such as computers, photocopiers, fax machines, and typewriters.Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.
