The Scheduling Specialist II is responsible for answering incoming calls and making outbound calls to ensure accurate appointment scheduling into data base & provider schedules. Responds to patient's questions and needs by editing, canceling rescheduling appointments according to department protocols, in addition to pre-procedure requirements. Requires extensive interaction with providers, department staff, offices, pharmacy, and equipment representatives to ensure correct scheduling.
JOB DUTIES AND RESPONSIBILITIES:

  • Accurately completes the scheduling process. Ensure proper prerequisite testing is completed or ordered prior to study being scheduled
  • Ensure appropriate protocols are followed/coordinated depending on diagnosis
  • Communicate/Coordinate effectively with departments, radiologists, cardiologists, radiology nursing staff, & radiology managers when there are safety issues for the patients Educate offices on protocols for prior testing required to complete procedures
  • Collaborates with OR scheduling/anesthesiology to accommodate the anesthesia needs of the PT's
  • Knowledge of procedure workflow to determine if/when procedures can be scheduled
  • Prioritize workload to ensure that cases are handled per provider protocols
  • Provides accurate and timely verification of all financial information for all services to ensure proper reimbursement
  • Registers Patient at time of appointment entry
  • Updates and or communicates correct patient information to appropriate staff, hospital departments, and computer systems. Works with coordinator, supervisor and managers for any scheduling, or insurance issues
    PHYSICIAL AND SENSORY REQUIREMENTS:
    Must be able to sit for long periods of time. Must have the ability to hear as it related to normal conversation. Frequent use of hands for data entry.
    EDUCATION:
    Associate degree or equivalent experience required
    TRAINING AND EXPERIENCE:
    1-2 years of previous experience in a call center or other high volume, fast paced environment required. 2-4 years of experience in a role utilizing medical terminology required.
